Importing flight history

This article shows how to bring your pilots' past flights (their PIREPs) over from your old platform, so their logbooks don't start empty.

You need to be the owner, or staff with Import and export airline data. To add the flights' hours to the pilots' transfer hours you also need the permission to change pilots' transfer hours, for every hub. Open Staff → Airline settings → Import & export, then Import flight history.

Before you start

  • Each pilot must already be a member of your airline. A row names the pilot by their pilot ID here (for example FCV0012), by the old pilot ID of an imported record they claimed, or by their email. Rows for pilots who haven't joined yet are left out: import the same file again after they join.
  • Each aircraft type must be in your fleet. A row with a registration from your fleet uses that aircraft; otherwise any aircraft of that type.
  • Only accepted flights are imported. Rejected, pending or cancelled ones are left out.

The file

A CSV or Excel (.xlsx) file, one flight per row, at most 20,000 rows and 4 MB. The first line names the columns:

  • Needed: pilot, flight_number, departure, arrival, off_block (the date and time off block, in UTC, like 2025-03-01 14:20) and block_time (minutes like 85, 1:25 or 1h 25m). Instead of block_time, an arrival_time column works too.
  • Needed, one of them: aircraft_type (the ICAO code, like A320) or registration.
  • Optional: landing_rate (fpm), fuel_used (kg; pounds in a fuel_used_lbs column), distance (nautical miles; without it the great-circle distance is used) and status (accepted when empty).

Exports from other crew centres are read with their own column names too, for example dpt_airport_id, arr_airport_id, flight_time, block_off_time, landing_rate, fuel_used and state.

Preview, then import

  1. Choose the file. Leave Add their hours to the pilots' transfer hours ticked to count the hours (see below).
  2. Press Preview. You see how many flights can be imported, a sample, and each row that can't, with its line number and the reason.
  3. Fix the file and preview again, or press Import to bring in the flights that are ready.

Importing the same file again adds nothing twice: a flight with the same pilot, airports and off-block time is already there. Large files are written in small batches, so the site stays responsive.

What imported flights count for

  • They're in each pilot's logbook, marked Imported, and can be filtered by that source.
  • Their hours count the way imported hours always have: they're added to the pilot's transfer hours, which count toward hours and ranks.
  • They don't add flights or points, and don't change leaderboards, statistics, duels, goals, challenges, awards, finances or aircraft hours.
  • They can't be reviewed, corrected or re-scored.
  • Nobody is emailed or notified, and nothing is posted to Discord.
If your pilots' hours from the old airline are already in their transfer hours (for example from claimed pilot records), untick Add their hours to the pilots' transfer hours, or those hours count twice. The preview warns you when pilots in the file already have transfer hours.

Undo an import

The Imports list shows each import with its file, who imported it, and how many flights and hours it added. For 7 days you can press Undo: it removes only that import's flights, and takes back the transfer hours it added. Undoing an import that added hours needs the permission to change pilots' transfer hours.

Imports and undos are written to the activity log.
